Privacy Policy
Effective October 21, 2026
TCnotes (tcnotes.app) is run by Trey Keys ("we", "us"). This policy explains what we collect when you use TCnotes, why we collect it, who helps us run the service, and the choices you have.
The short version
- We collect what we need to run TCnotes: your account details and the notes you create.
- Voice notes are transcribed and the audio is thrown away. We keep only the text.
- Tentacle Sync readings stay in your browser.
- No ads, no tracking cookies, and we never sell your information.
- We count visits with Cloudflare Web Analytics, which uses no cookies and doesn't follow you across other sites.
- Your notes and recordings are never used to train AI models.
What we collect
Account information
When you sign up we collect your email address. If you sign in with Google, we also receive your name and profile photo from Google. Sign-in, account security and verification emails are handled by Clerk on our behalf.
Your content
The projects, recordings, notes, timecodes, marker colors and names you create, plus the names of any teams you create or join. This is stored so it syncs between your devices and is there when you come back.
Voice notes
When you hold the mic button, your browser records audio from your microphone. When you let go, that clip is sent to our transcription service to turn it into text. We do not store the audio: once the text comes back, the clip is discarded, and only the text is saved as your note. The microphone is used only while you are recording a voice note, and only after you allow it in your browser.
Tentacle Sync and Bluetooth
If you sync with a Tentacle Sync device, your browser connects to it over Bluetooth for a few seconds to read its timecode. The readings and the device name are kept in your browser's storage on your device. They are not sent to us.
Information stored on your device
TCnotes keeps a copy of a recording you are working on in your browser's storage, so notes are not lost if your connection drops. That copy is sent to us when it syncs, like any other note.
Technical information
Like most websites, our hosting provider keeps basic request logs, such as IP address, browser type and the time of a request. We use these only to keep the service secure and to fix problems, and they are kept for a short period.
Site analytics
We use Cloudflare Web Analytics to understand how many people visit TCnotes, which pages they open and how quickly those pages load. When a page loads, a small script from Cloudflare reports the page address, the referring site, load timing, your browser, operating system and device type, and your approximate country. It doesn't use cookies or other browser storage, doesn't build a profile of you, doesn't follow you across other sites, and never sees the contents of your notes. We see only totals, never individual visitors. Content blockers that block analytics will stop this script, and TCnotes works the same either way.
Payments
Payments for paid plans are processed by Stripe through Clerk. We receive your subscription status, but never your full card number.
How we use your information
- To provide TCnotes: saving and syncing your notes, transcribing voice notes and running exports.
- To sign you in, keep your account secure and send verification codes.
- To apply plan limits and, once available, manage subscriptions.
- To answer your questions and fix problems.
- To see, in aggregate, how TCnotes is used and how fast it loads, so we can improve it.
Exports for Premiere Pro, DaVinci Resolve, Final Cut Pro and spreadsheets are created in your browser and downloaded straight to your device. We do not sell your personal information, show you ads, or use your content to train AI models.
Services that help run TCnotes
These providers process information for us, only to provide TCnotes:
- Clerk: accounts, sign-in, verification emails and, once available, billing.
- Cloudflare: hosting, our database, voice transcription and cookie-free site analytics.
- Google: sign-in, only if you choose to continue with Google.
- Stripe: payment processing for paid plans.
Teams
If you create or join a team, everyone on that team can see and edit the team's projects, recordings and notes. The team's owner and admins manage who is on the team.
Cookies
We use only the cookies needed to keep you signed in. We do not use advertising cookies, and our analytics (Cloudflare Web Analytics) uses no cookies at all.
How long we keep information
We keep your account and content while your account is active. When you delete a note, recording or project in TCnotes, it is removed from our database right away and from our backups within 30 days. Voice audio is never kept. Request logs are kept only briefly.
Your choices and rights
- You can edit or delete your notes, recordings and projects at any time in the app.
- You can export your notes at any time.
- To delete your account and everything in it, email privacy@tcnotes.app. We will confirm and complete the deletion within 30 days.
Depending on where you live, such as California, the European Union or the United Kingdom, you may have additional rights, including the right to access, correct, delete or receive a copy of your personal information, and to object to certain uses of it. To make a request, email privacy@tcnotes.app. We will not treat you differently for exercising these rights.
Security
All traffic to TCnotes is encrypted with HTTPS, your notes are only available to your account (or your team), and sign-in sessions are verified on every request. No system is perfectly secure, but we work to protect your information.
Children
TCnotes is not meant for children under 13, and we do not knowingly collect information from them. If you believe a child has given us information, contact us and we will delete it.
Where your information is stored
TCnotes is run from the United States, and your information is stored and processed in the United States.
Changes to this policy
If we change this policy, we will update the date at the top. For significant changes, we will let you know in the app or by email before they take effect.
